This Privacy Policy explains how Transcriptr collects, uses, and protects your personal data when you use our website and transcription service at transcriptr.nl. We are committed to handling your data responsibly and in line with the EU General Data Protection Regulation (GDPR).

1. Who we are

Transcriptr (“we”, “us”, “our”) is an online audio- and video-to-text transcription service available at transcriptr.nl, operated by Cazumo Consultancy. We are the data controller responsible for your personal data. If you have any questions about this policy or your data, contact us at support@transcriptr.nl.

2. What data we collect

Account information. When you sign in with Google, we receive your email address, name, and profile picture from your Google account.
Files and transcripts. The audio or video files you upload (or YouTube links you submit) and the text transcripts generated from them.
Usage data. Your IP address, browser type, and information about how you use the service — including the number and timing of transcriptions — which we use to operate the service, enforce usage limits, and prevent abuse.
Cookies and similar technologies. We use cookies for essential site functionality and for analytics and advertising measurement (see Section 7).

3. How we use your data

To provide the transcription service and deliver your results.
To store your transcripts in your account so you can access them later (“My Transcripts”).
To enforce daily usage limits and protect the service against abuse and fraud.
To maintain, secure, and improve the service.
To measure and improve our marketing (for example, Google Ads conversion measurement).

4. How your files are handled

When you upload a file for transcription, its audio is sent to our transcription provider (OpenAI) to generate the text. We do not permanently store your uploaded audio or video files — they are processed only to create the transcript. The resulting text transcript is saved so it can appear in your account. If you use the optional AI summary feature, the transcript text is sent to our summarization provider (Anthropic) to generate the summary.

5. Third-party services we use

We rely on the following trusted service providers (“processors”) to operate Transcriptr. Each processes data only as needed to provide their service:

Some of these providers are located outside the European Economic Area (EEA), including in the United States. Where data is transferred outside the EEA, it is protected by appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

6. Legal basis for processing (GDPR)

We process your data on the following legal bases: performance of a contract (to provide the service you request), your consent (for example, for non-essential cookies and analytics/advertising), and our legitimate interests (to secure the service, prevent abuse, and improve our product). You may withdraw your consent at any time.

7. Cookies and tracking

We use essential cookies needed for the site to function (such as keeping you signed in). We also use Google Analytics and Google Ads technologies to understand how the site is used and to measure advertising. You can control cookies through your browser settings, and you can opt out of Google Analytics using the tools Google provides.

8. Data retention

We keep your account data and transcripts for as long as your account is active or as needed to provide the service. You can request deletion of your transcripts or your account at any time by contacting support@transcriptr.nl. Uploaded audio and video files are not retained after the transcript has been generated.

9. Your rights

Under the GDPR, you have the right to access, correct, delete, or restrict the processing of your personal data, the right to data portability, and the right to object to certain processing. To exercise any of these rights, contact us at support@transcriptr.nl. You also have the right to lodge a complaint with your local data protection authority — in the Netherlands, this is the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).

10. Data security

We take reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS) and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Children

Transcriptr is not intended for children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so that we can remove it.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page. We encourage you to review this page periodically.
